Driver/Administrative Assistant

Job Purpose

  • The Project Driver/Administrative Assistant will maintain all project vehicles and drive project staff to and from meetings, appointments, and all other project-related travel. Overnight regional travel may be required, as directed by the project. The Driver/Administrative Assistant will be responsible for, but not limited to, the following detailed tasks:

Driver Job Responsibilities In Kenya

  • Vehicle maintenance including regular check-ups, cleanings, and fueling.
  • Maintaining an accurate vehicle log.
  • Working with Administrative Officer to manage daily vehicle and trip scheduling as needed.
  • Maintaining accurate records and paperwork on all vehicle-related purchases and maintenance.
  • Providing safe transportation to and from locations for project staff.
  • Ensuring compliance with all DAI and local driving laws and regulations.
  • Maintain administrative files and office supplies; request additional supplies as needed.
  • Regularly audit office inventory and update TAMIS.
  • Assist the Administrative Officer as needed.
  • Other duties as assigned.

Qualifications For Driver Jobs In Kenya

  • Basic knowledge of English.
  • Excellent driving record.
  • Excellent writing, speaking, and reading skills in English.
  • Excellent verbal and written communication and interpersonal skills.
  • Computer literate with e-mail, word processing and spreadsheet analysis experience.
  • Ability to multi-task and prioritize tasks.
  • Valid local driver’s license.
  • At least 2 years of work experience as a driver, preferably for a USAID or other international donor-funded project.

Supervisory Responsibilities

  • The Project Driver/Administrative Assistant will have no supervisory responsibilities.

Reporting

  • The Project Driver/Administrative Assistant will report to the Administrative Officer.

Job Dimension

  • Reporting to the Accident and Emergency Nurse, the Ambulance Driver will be responsible for providing ambulance driving services in the Hospital’s Accident and Emergency Unit.

Driver Job Duties and Responsibilities in Kenya

  • Drive hospital ambulance as allocated duty and as directed by the Nurse in-Charge of Accident and Emergency Services.
  • Take general care and maintenance of hospital ambulance such as tire care, engine oil, cooling systems and fuel.
  • Ensure that the ambulance is given the appropriate mechanical service at all times.
  • Ensure security and safety of hospital while on and off the road at all times.
  • Maintain cleanliness of the hospital ambulance ensuring that it is always in condition and ready for use.
  • Track and ensure that hospital ambulance has the right papers and is in the required conditions and have the required accessories and health equipment.
  • Provide patient and staff with care and environment that does not compromise their safety and security while in transportation.
  • Report any damage to the ambulance immediately to the Nurse in-Charge of Accident and Emergency services for the appropriate action.

Academic and Professional Qualifications for Driver Jobs in Kenya

  • Must have Kenya Certificate of Secondary Education (KSCE) Mean-grade D+.
  • Must have a valid Special Driver’s (Ambulance) License free from any endorsements.
  • Must have a Certificate in First Aid from a recognized institution.
  • Must have attended a course in life saving.
  • Must have a certificate of good conduct from the National Police Service.
  • Must have at least five years’ experience as an Ambulance Driver in a busy Health Facility.

Driver Job Purpose in Kenya

  • The Driver position in the Office normally falls under direct supervision of the Administrative Officer / Associate.
  • The incumbent is responsible for up keep and maintenance of the assigned UNHCR vehicle(s) as per technical guidance and specifications established by the organisation.
  • He/She is required to follow strict instructions and security guidance provided by the supervisor.
  • While basic function of a Driver is to drive the official vehicles of UNHCR, he/she may be called upon to perform minor maintenance and repair of UNHCR vehicles.
  • The incumbent has regular contacts with staff within UNHCR office and with service providers outside UNHCR involving a limited exchange of information.

  • Assigned UNHCR vehicles are properly maintained and equipped as per technical guidance and specifications established by the Organisation.
  • Local traffic rules and regulations are strictly observed.

  • Drive UNHCR vehicles for the transport of authorized passengers and delivery and collection of mail, documents, UNHCR pouch and other items.
  • Meet official personnel at the airport and facilitate immigration and customs formalities as required.
  • Perform day-to-day maintenance of the assigned vehicles; check oil, water, battery, brakes, tires, etc. and ensure that the assigned UNHCR vehicles are road worthy and maintained up to the established security standards.
  • Perform minor repairs and arrange for other repairs and ensure that the vehicle is kept clean.
  • Ensure that the steps required by rules and regulations are taken in case of involvement in accident.
  • Log official trips, daily mileage, gas consumption, oil changes, greasing, etc.
  • Perform other related duties as required.

Authority (decisions made in executing responsibilities and to achieve results)

  • Drive the vehicle only when his/her safety or security is not at risk.
  • Ask the passenger about the destination of the journey and route.
  • Decline to drive passengers not authorized to be in a UNHCR vehicle.

Essential Minimum Qualifications for Driver Jobs in Kenya

  • Completion of Primary Education or equivalent technical or commercial school.
  • Minimum 2 years of previous job experience relevant to the function.
  • Driving licence, knowledge of driving rules and regulations and skills in minor vehicle repair.
    Good knowledge of English and local language.
